Users are your employees, contractors, or third parties that you want to access your view of the Corastone platform. Your users are associated with your organization. See for information on interacting with other organizations on the Corastone platform.

Each user has a role and a type. Any user can be any combination of one role and one type.

To access this feature, you must log into the Corastone portal with a user account that has:

  • Tech Support user role

  • Internal or External user type

Available user roles are:

  • Standard: uses the Corastone portal for viewing and managing securities events. Applies only to funds for which the user has been added to the User Access List. Default permissions for all screens are set to View. Users with a Management role can adjust these permissions per user per fund.

  • Management: uses the Corastone portal for managing securities events for all funds. Inclusion in the User Access List for a fund is not required.

  • Tech Support: uses the Corastone portal to establish and maintain Corastone portal access for users and other organizations. Also manages technical issues.

To search for the user entry you need to work with:

  1. Go to the User Management page.

  1. Use any of the columns to filter the list of users. (See How to Use the Filters for details.)

  2. Click the column name to sort the entries alphabetically, if needed.

  3. Click the User ID link to display the user profile.

The user profile includes:

  • name

  • role

  • type

  • contact information

  • authentication information

  • login history

How to Use the Filters

You can use any columns in the User Management page to filter the user entries displayed:

  • For User ID, User Name, and User Last Name, enter characters to match the content you are looking for. For example, enter A in the User Last Name filter to find all user names containing the letter A. Note: Wildcards are not supported.

  • For Role and Status, click the field and select the values to include. For example, to include only entries for users with the Standard role, click the Role filter and select only Standard from the list.

Your role gives you baseline access to screens in the portal.

Permissions are for expanding the baseline permissions of Standard Users on specific funds.

To provide someone with access to your Corastone portal, you must add them as a user:

  1. Send the user's IP address to [email protected].

  2. Once you receive email confirmation that the IP address has been configured for portal access, go to the User Management page.

  1. Click Add User.

  1. Use the following guidelines to complete the form:

What Happens Next

When you add a user:

  • The platform automatically sends an invitation to the user's email address. The invitation is good for one use within seven days.

  • The entry for that user in the User Management page shows a Status of Added.

  • Once the user completes the process of accepting the invitation, the status changes to Active.

If the invitation expires or the user misplaces it, you can .

To reset a user's password:

  1. for the user's entry.

  2. Click the User ID link.

  3. Find the Authentication section in the user profile.

  4. Click Reset Password.

The next time the user attempts to log in, they will be asked to set a new password.

Search the User Management page

First Name

the user's first name

Last Name

the user's last name

Role

the user's role - Select Standard for users who will have access to certain security events. - Select Management for users who will have access to all security events for this org. - Select Tech Support for users who will maintain user access and establish connectivity with other platform organizations.

Email

the user's email address The user will receive an invitation via email to this address. Note: You cannot supply the same email address for multiple users. Therefore, if someone needs both roles, you must create two user entries with different email addresses.

Type

the user's type - Select Internal if the user is your employee. - Select External if the user is someone from another company who needs to use your portal. Note: The user's type does not impact the function of the portal at this time.

resend the invitation

To permanently remove access to the portal, you can archive the user and their data.

  1. Search the User Management page for the user's entry.

  2. Click the User ID link.

  3. Click Archive User.

Future attempts to reactivate this user will require assistance from Corastone support.

If a user misplaces an invitation or the invitation expires before being accepted, you can send another invitation.

  1. for the user's entry.

  2. Click the User ID link.

  3. Click Resend Invite.

Search the User Management page

Suspending a user temporarily removes their access to the portal.

To temporarily remove an Active user's access to the portal:

  1. Search the User Management page for the user's entry.

  2. Click the User ID link.

  3. Click Suspend User.

Suspend User is not available if the user has not accepted the portal invitation.

To make changes to a user's information:

  1. Search the User Management page for the user's entry.

  2. Click the User ID link.

  1. Click Edit.

  2. Make changes to the user role and/or type.

  3. Click Save.

Available types are:

  • Internal: employees of your firm.

  • External: users who are not employees, but need similar access to your data on the Corastone platform.

Restoring Access for Suspended Users

To access this feature, you must log into the Corastone portal with a user account that has:

  • Tech Support user role

  • Internal or External user type

To restore portal access for a suspended user:

  1. Search the User Management page for the user's entry.

  2. Click the User ID link.

  3. Click Re-activate User.
